Founded in 2014 in Madrid, Fide Partners is a global strategy consulting firm specialising in the Telecoms, Media and Technology industry. We are looking to hire an experienced EA who is looking for an entrepreneurial challenge in helping to manage and grow our Madrid team, which is growing rapidly. The role will combine aspects of Office Manager, Executive Assistant, and Operations

Key Responsibilities

·Extensive diary and agenda management across time zones

·Providing background information on all external and internal meetings with supporting materials/background

·Supporting with organisation of recruitment activities ? including helping with identification of candidates, submitting HR contracts and building on-boarding

·Supporting with building the team culture

·Processing expenses in line with company policy

·Raising purchase orders and paying invoices in line with company procedures

·Booking travel including flights, hotels, taxis for the Executives

·Plan detailed and comprehensive travel itineraries via diary entry

·Handling IT and Maintenance queries

·General office administration

·Organising events at the request of the Executives (e.g. team meetings, global townhall meetings etc)

·Ensuring phones are answered politely, quickly and efficiently

·Opening and distribution of all post

·Maintaining filing systems

·Help with occasional personal administration

Personal Profile

·Previous experience of working as a PA to Senior Management

·Entrepreneurial mindset ? proactively taking initiative to help us grow our team quickly

·Highly computer literate, particularly in Outlook, Word, PowerPoint and Excel

·Strong administrative and organisational skills with the ability to multi task

·Professionalism and a high degree of confidentiality and integrity

·Strong communication including excellent written and spoken English, interpersonal skills and attention to detail

·Ability to remain calm in a high pressure environment and prioritise

·Understanding and adherence to the Exec Admin processes and ways of working - filing, file naming conventions, cover and handover procedures

·Diplomatic

·Punctual and reliable

·Ability to work as a team, whilst also demonstrating initiative and flexibility where necessary
